Purpose of Role:

The Procurement & Marketing Operations Officer plays a pivotal role in ensuring the smooth execution of marketing campaigns and operations. You will manage procurement for marketing goods and services, including vendor sourcing, contracting, and delivery tracking. In addition, you will provide essential support to the marketing team by coordinating administrative processes, tracking budgets, assisting with project timelines, and managing approvals. Your work ensures that the marketing team runs efficiently, maintains compliance, and delivers on-time, on-brand campaigns.

What You’ll do…

Procurement & Supplier Management

  • Source, evaluate, and manage vendors for marketing goods and services (e.g. merchandise, print, production, media).
  • Manage the full procurement process from request to delivery, including quoting, PO creation, and approvals.
  • Negotiate pricing, contracts, and service levels with suppliers to ensure value for money.

Marketing Admin & Coordination

  • Provide administrative support to the marketing team across campaigns, events, and rollouts.
  • Maintain supplier databases, procurement records, and ensure compliance with internal processes.
  • Coordinate logistics for events, production, and delivery of materials, ensuring deadlines and quality standards are met.

Budget & Spend Tracking

  • Work with the marketing team to track and reconcile campaign and project budgets.
  • Identify opportunities for cost optimisation and report on spend performance and supplier efficiency.

Compliance & SLA Oversight

  • Ensure procurement and supplier management aligns with internal policies and legislative requirements.
  • Monitor delivery against agreed SLAs and escalate issues when needed.

Professional and Self-Development:

  • Actively participate in monthly KPI meetings and one-on-one sessions to track progress and align on performance goals.
  • Take part in bi-annual performance reviews with the Head of Department to evaluate achievements and identify areas for growth.
  • Complete all required training courses to continuously develop skills and stay updated with industry best practices.

Experience & Qualifications

  • 3+ years’ experience in procurement or marketing coordination (ideally both)
  • Experience working with vendors in a marketing context (e.g. merchandise, events, print)
  • Matric/Grade 12 (Essential)
  • Diploma or degree in Marketing, Business Administration, Procurement or related field (Desirable)

Skills & Knowledge

  • Strong procurement and negotiation skills
  • Understanding of supplier contracts and SLA management
  • Excellent coordination and administrative skills
  • Budget tracking and cost control proficiency
  • Proficiency in MS Office and procurement processes
  • Strong communication and interpersonal skills
  • Proficiency in ClickUp or similar task and workflow management tools

Other requirements

  • Willingness to travel occasionally to other office locations, customer sites, or partner meetings as needed.
